# Create a Partner Report

Learn how to create a partner report for a reporting period in PEARS.

A partner report covers one partner over one or more reporting periods. The periods you select determine which of the partner's contacts, contributions, and activities the report shows.

{% hint style="info" %}
**TIP:** The red asterisk **\*** next to the heading of a field indicates that the field is required.
{% endhint %}

## General Information

{% stepper %}
{% step %}

#### Navigate to Partner Reports

From the PEARS homepage, hover over the **Reflect** menu and click **Partner Reports**.
{% endstep %}

{% step %}

#### Click Add Partner Report

On the Partner Reports list page, click the **Add Partner Report** button.

{% hint style="info" %}
**TIP:** You can also start a report from the partner itself. On the partner's detail page, click **Add Report** in the **Reports** section — the report opens with that partner already selected.
{% endhint %}
{% endstep %}

{% step %}

#### Select the Partner **\***

In the **Partner** field, select the partner this report reports on.
{% endstep %}

{% step %}

#### Select the Responsible Unit **\***

In the **Responsible Unit** field, select the unit responsible for this report. This defaults to your unit.

{% hint style="warning" %}
**NOTE:** The Responsible Unit may differ from the partner's own unit. The partner's unit controls who can see the partner and its reports; the Responsible Unit says whose relationship this report describes. Two units can each file their own report on the same partner.
{% endhint %}
{% endstep %}

{% step %}

#### Select the Reporting Period(s) **\***

In the **Reporting period(s)** field, select every period this report covers. At least one is required.

The contacts, contributions, and activities shown on the report are limited to these periods' date ranges. Changing the selection re-scopes those lists.
{% endstep %}

{% step %}

#### Select Program Areas (optional)

In the **Program Areas** field, select the program area(s) this report covers.
{% endstep %}

{% step %}

#### Select the Jurisdiction Level

In the **Jurisdiction level** dropdown, select the level at which this partner operates — for example city, county, or state.

{% hint style="info" %}
**TIP:** Jurisdiction level lives on the report rather than the partner, because a partner can operate at a different level from one period to the next.
{% endhint %}
{% endstep %}

{% step %}

#### Select the Depth of Relationship **\***

In the **Depth of relationship** dropdown, select how developed the working relationship is, from initial networking through full collaboration.

This field is required before the report can be marked complete.
{% endstep %}

{% step %}

#### Add Comments (optional)

In the **Comments** field, add any context for this reporting period. This is a rich text field.
{% endstep %}

{% step %}

#### Add File Attachments (optional)

In the **File attachments** field, upload any supporting documents.
{% endstep %}

{% step %}

#### Save and Continue

Click **Save and Continue** to move on to **Partner Activities**.
{% endstep %}
{% endstepper %}

## Partner Activities

The **Partner Activities** section lists the partner's activities and contributions whose dates fall inside the report's reporting periods, and asks which of them belong in this report.

Each row is marked either **In Report** or **Not Included**. Rows carried over from the partner's interaction log are read-only — they describe what happened, and this section only decides whether to include them. Activities you log manually here can be edited and removed.

The section is headed **Partner Activities & Contributions**.

{% hint style="info" %}
**TIP:** Activities come from the partner's Other Activities and from CRM interactions naming the partner. If something is missing, add it on the partner or log the interaction, then return to the report.

## Read-Only Roll-Ups

Alongside the wizard, the report shows the partner's **Contacts & Interactions** and **Contributions** for the selected periods only. These are read-only summaries of data entered elsewhere — they re-scope automatically when you change the reporting periods.

## Custom Data

If your organization has attached custom fields to Partner Reports, a **Custom Data** step appears in the progress panel. Required custom fields must be answered before the report can be marked complete. See Manage Custom Fields.

## Next Steps

* Assessments, Accomplishments & Lessons — Record the evaluation and outcomes of the partnership.
* Mark a Partner Report as Complete — Submit the finished report.
