# Community Events

A **Community Event** in PEARS represents a public, unlisted, or internal event that participants can register for and attend. The Community Events module provides complete event management from creation through registration, payment, and confirmation. Use this module to publish events, collect registrations, process fees, and track attendance.

## Getting Started

To access Community Events, hover over the **Plan** menu in the top navigation bar and click **Community Events**. The Community Events list displays all of your records, with options to search, filter, sort, and create new entries.

{% hint style="info" %}
**TIP:** The Community Events list defaults to the current year for faster loading. Use the **Year** filter to view events from other years, the **Ended in Range** filter to find events that ended during a specific window (helpful for end-of-month reconciliation), and the **Collaborators** filter to find events where a specific user is listed as a collaborator (not just the creator).
{% endhint %}

## Registration By Type Column

The Community Events list includes a **Registration By Type** column showing how full each event is, broken down by registration type. Each type displays its registration count against its cap as "N of M" with a meter, and the types closest to full are listed first. A type with a waitlist shows the number waiting as a **+N** pill; a type with no cap shows a plain count. When an event has more registration types than fit, a "+ N more types" note appears — open the event to see the rest.

Sort by this column to bring the events nearest capacity to the top.

## Workflow

Creating a complete community event involves several steps. PEARS guides you through each section in order:

{% stepper %}
{% step %}
**General Information**

Enter the event name, summary, details, delivery methods, dates, location, and other basic information.

[Create a Community Event](/plan/community-events/create-a-community-event.md)
{% endstep %}

{% step %}
**Collaborators**

Add other PEARS users who contributed to or should have access to this event.

[Collaborators](/plan/community-events/collaborators.md)
{% endstep %}

{% step %}
**Sessions (if multi-session)**

If the event has multiple sessions, add each session with its own name, date, time, and location. Group concurrent sessions into a breakout block so registrants pick only one of them.

[Event Sessions](/plan/community-events/event-sessions.md)
{% endstep %}

{% step %}
**Registration Types**

Configure the registration types available for the event, set a registration cap, and customize registration forms for each type.

[Registration Types](/plan/community-events/registration-types.md)
{% endstep %}

{% step %}
**Payment (if paid)**

Set up payment methods, fee amounts per registration type or session, and optional discounts.

[Event Payment](/plan/community-events/event-payment.md)
{% endstep %}

{% step %}
**Confirmations**

Create confirmation messages for each registration type using dynamic tokens.

[Confirmations](/plan/community-events/confirmations.md)
{% endstep %}

{% step %}
**Preview and Publish**

Preview the event listing and publish it to make it visible to registrants.

[Publish an Event](/plan/community-events/publish-an-event.md)
{% endstep %}

{% step %}
**Manage Registrations**

View, edit, and manage individual registrations, mark attendance, process payments, and send confirmations.

[Manage Registrations](/plan/community-events/manage-registrations.md)
{% endstep %}

{% step %}
**Waitlist (if enabled)**

Once a registration type reaches its cap, collect waitlist signups and invite waitlisted people to register when a seat opens up.

[Event Waitlists](/plan/community-events/event-waitlists.md)
{% endstep %}
{% endstepper %}

{% hint style="info" %}
**TIP:** The **Event Progress** panel on the right side of the event detail page shows your completion status and a checklist of remaining sections.
