Important considerations when editing records from past reporting periods in PEARS.

The Data Manager role permits users to view and edit all organizational data, including data from past reporting periods. When editing historical records, keep the following considerations in mind.

Permission required: Data Manager.

Reporting Period Specific Lists

Some lists, such as curricula, may change each reporting period. When editing older records, the displayed list options may reflect the current period rather than the original period. Verify that all fields match the correct reporting period context before saving.

Required Fields

New required fields may be added to PEARS over time. Editing a record from a past reporting period may expose newly required fields that must be completed before the record can be saved.

TIP: The red asterisk * next to the heading of a field indicates that the field is required.

Linked Records

Ensure that any associated records receive necessary modifications. Many records are connected to other modules such as Action Plans, Program Activities, or Partnerships.
