Export Data

Export data from any PEARS module into Excel spreadsheets for additional analysis.

The PEARS export feature allows you to download data from any module into Excel spreadsheets for additional analysis. You can export records you have created or have permission to access.

How to Export

From the PEARS homepage, open the appropriate menu (Plan, Engage, Reflect, or Analyze) and select the module you want to export from.

Filter your data

Use the filter and search tools on the list view to refine which records will be included in the export.

TIP: The export includes only the records that match your current filter and search criteria. Adjust filters before exporting to control the data set.

Click Export

Click the Export button. An Excel document downloads automatically to your device containing all listed records.

Export File Structure

Each Excel export contains multiple tabs:

  • Codebook — Shows export metadata including the user who ran it, the timestamp, the filters that were applied, and descriptions of each field.

  • Module data — Contains the primary data from the selected records.

  • Additional data tabs — Supplementary information that is split into separate tabs when needed (e.g., session data, collaborator data).

  • Collaborators — Records from the Collaborators section of entries.

Working with Exported Data

  • Enable Editing — Exports may open in Protected View. Click Enable Editing to modify the file.

  • Freeze the top row — Use View > Freeze Panes to keep column headers visible while scrolling.

  • Sort and filter — Use the Data menu to sort and filter columns.

  • Formulas — Use SUM, COUNT, VLOOKUP, and other Excel formulas for calculations.

  • Pivot tables — Create pivot tables to summarize data and generate graphs.

State-Level Exports

Administrators with state-level access can export data across multiple agencies:

  1. Click your username in the top navigation bar and select Switch Organization.

  2. Select the state-level organization.

  3. Navigate to the desired module and export as described above.
