# AI Entry

Use AI Entry to draft a CRM contact or interaction by dictating or typing a plain-language description.

**AI Entry** lets you describe a contact or an interaction in plain language — dictated or typed — and have PEARS draft the form for you to review. It never saves on your behalf: the AI fills in fields, you check them, and you save.

{% hint style="warning" %}
**NOTE:** AI Entry is off by default. An Organization Administrator enables it from **Organization Settings → General → AI Tools** by turning on the **AI Entry** toggle, which requires the **Use AI Tools** master toggle. See [AI Tools](/administration/administration/ai-tools.md).
{% endhint %}

## Dictation Requirements

Dictation uses your browser's built-in speech recognition, so it works without any additional software. Your browser asks for microphone permission the first time you use it.

{% hint style="info" %}
**TIP:** You never have to dictate. Typing into the same box works exactly as well — the AI reads the text either way.
{% endhint %}

## Draft an Interaction

{% stepper %}
{% step %}

#### Open the interaction form

From the Community Relationships list, click **Add Interaction**.
{% endstep %}

{% step %}

#### Expand Start with AI

Click **Start with AI** above the form.
{% endstep %}

{% step %}

#### Describe what happened

Describe who you met and what happened in plain language. Type it into the box, or tap the mic to dictate — dictated words stream into the box as you speak, and an indicator shows whether the microphone is picking you up.
{% endstep %}

{% step %}

#### Click Review Interaction

Click **Review Interaction**. If the AI needs more detail, it shows a **More information needed** message explaining what is missing.
{% endstep %}

{% step %}

#### Confirm who was involved

The AI lists the people it identified. For each one, choose how they should be added — matched to an existing contact, or created as a new one. Then click **Confirm Contacts**.

New contacts are created at this point.
{% endstep %}

{% step %}

#### Review the drafted interaction

The interaction is filled into the form below, with a confirmation that reads "Drafted the interaction below. Review it, add anything that's missing, then save."

Check every field, correct anything that is wrong, and add what the AI could not know.
{% endstep %}

{% step %}

#### Save

Click **Save interaction**. Nothing is stored until you do — or click **Save & add another** to log a second interaction straight away.
{% endstep %}
{% endstepper %}

{% hint style="info" %}
**TIP:** Click **Start Over** at any point to discard the draft and begin again.
{% endhint %}

## Draft or Update a Contact

The contact form carries the same assist. On a new contact it reads **Fill in with AI**; on an existing one it reads **Update with AI**.

{% stepper %}
{% step %}

#### Expand the AI panel

On the contact form, click **Fill in with AI** or **Update with AI**.
{% endstep %}

{% step %}

#### Describe the contact or the change

Describe the new contact — or, on an existing record, describe your update — in plain language. Type it or dictate it.
{% endstep %}

{% step %}

#### Click Review Suggestions

Click **Review Suggestions**. The AI lists the fields it proposes to fill and the values it proposes for them.

If nothing you said maps to a field on the form, it tells you so rather than guessing.
{% endstep %}

{% step %}

#### Click Fill In Form

Click **Fill In Form**. The values land in the form and are highlighted, with a note of how many fields were filled.
{% endstep %}

{% step %}

#### Review and save

Review the highlighted fields, edit anything that is off, then save the form.
{% endstep %}
{% endstepper %}

{% hint style="warning" %}
**NOTE:** AI Entry never fills in [demographics](/engage/community-relationships/contact-demographics.md). Gender, age, race, and ethnicity are excluded at every layer, so they always remain something a person enters deliberately.
