Merge Sites
Merge duplicate or related site records into a single site in PEARS.
The merge tool combines two or more site records into a single site. All related data (program activities, partnerships, PSE site activities, coalitions, indirect activities, and success stories) is transferred to the selected target site, and the remaining sites are removed.
Permission required: Site administrator.
Merge Workflow
Select Sites to Merge
From the site list, select two or more sites using the checkboxes, then click Merge Sites. The merge page displays a table of the selected sites showing their name, address, city, zip code, organization status, creator, and related object count.
NOTE: You must select at least two sites. All selected sites must have the same organization status — you cannot merge sites marked as organizations with sites that are not organizations. Edit the sites to have the same status before merging if needed.
Review and Edit Merged Fields
The merge form displays the target site's fields pre-populated with its current values. Review and edit the fields as needed:
Name — The merged site name
Address — Street address
City — City (must match the selected state)
Zip Code — Postal code
Setting — Site setting
Contact Information — Primary contact, email, and phone
Other Attributes — Area type, ADA accessibility, tribal jurisdiction, external ID, and comments
The form also displays a summary of related data that will be transferred, including counts of program activities, partnerships, PSE site activities, coalitions, indirect activities, and success stories from each site.
Confirm and Merge
Review all changes and click Merge to execute the merge. PEARS will:
Transfer all related records from the unselected sites to the target site.
Transfer any child sites (if merging organization sites) to the target.
Delete the demographics data from the merged-away sites.
Delete the merged-away site records.
Redirect you to the target site's detail page.
NOTE: Merging is permanent and cannot be undone. The merged-away sites and their demographics are deleted. All related data is preserved on the target site.
Merge Restrictions
Minimum two sites — You must select at least two sites to merge.
Same organization status — All selected sites must either all be organizations or all be non-organizations.
Parent organization state — If a selected site has a parent organization, the parent's state must match the site's state.
Child sites — If a non-target site has child sites, it must be properly marked as an organization before merging.
