Add a Site

Create, edit, and delete site records in PEARS.

This article covers how to create, edit, and delete individual site records in PEARS.

Create a Site

From the site list, click Add Site to create a new record.

Enter Site Name and Address

  • Name — Enter the site name. Required.

  • Address — Enter the street address. Required.

  • Address 2 — Enter a secondary address line (suite, building, etc.) if applicable.

TIP: Each site must have a unique combination of name, address, and city within your organization.

Enter Location Details

  • City — Search for and select the city. The city must match the selected state.

  • State — Select the state. (For state-level organizations, this is set automatically.)

  • Zip Code — Enter the zip code.

  • Area Type — Optionally select the area type (e.g., Urban, Suburban, Rural).

Configure Organization Status

  • Is This Site an Organization? — Select Yes if this site represents an organization rather than a specific location. Organization sites can serve as parent organizations for other sites.

  • Parent Organization — If this site belongs to a group of sites, select its parent organization. Only sites marked as organizations can be selected as parents.

Enter Contact Information

  • Primary Contact — Name of the primary contact at this site.

  • Email Address — Contact email.

  • Phone — Contact phone number.

Configure Site Attributes

  • Setting — Select the type of setting that best describes this site (e.g., School, Community Center, Food Bank).

  • Is ADA Accessible — Select Yes or No.

  • Is Within Tribal Jurisdiction — Select Yes or No. If Yes, enter the Name of Tribal Organization.

  • External ID — An optional unique identifier for your state or agency's records.

  • Comments — Any additional notes about this site.

Enter Demographics (if applicable)

If your organization tracks site demographics, additional fields will appear for entering demographic percentages:

  • Free/Reduced Lunch — Percentage of participants eligible for free or reduced lunch.

  • Gender — Percentage breakdown by gender (male, female, non-binary).

  • Age — Percentage breakdown by age group.

  • Ethnicity — Percentage breakdown by ethnicity (Hispanic, non-Hispanic).

  • Race — Percentage breakdown by race.

Save

Click Save to create the site record.

Edit a Site

From the site list, click a site name to view its details, then click Edit to modify the record. All fields from the create form are available, plus:

  • Is Active — Deactivate a site to prevent it from appearing in dropdown menus. Inactive sites are preserved in existing records.

Delete a Site

From the site detail page, click Delete to remove the site.
