Manage Reporting Periods
View and manage reporting period open and close dates in PEARS.
Reporting periods define the time windows during which users can enter and submit data in PEARS. Each reporting period has a date range (start and end dates) that defines the reporting scope, and an open/close window that controls when data entry is available. This tool allows administrators to view all reporting periods and edit their open and close dates.
Permission required: Reporting period manager.
Getting Started
To access Reporting Periods, click the cog icon in the top navigation bar, select Organization Settings, then choose General → Reporting Periods. The list view displays all reporting periods for your organization.

List View
The reporting period list displays the following information:
Name — The program type and year (e.g., "SNAP-Ed 2025")
Program Type — SNAP-Ed, Extension, or other configured type
Start Date — Beginning of the reporting scope
End Date — End of the reporting scope
Open Date/Time — When data entry opens
Close Date/Time — When data entry closes
Is Active — Whether the period is currently open for data entry
Filters
Use the filter sidebar to narrow results:
Program Type — Filter by a specific program type
Year — Filter by reporting year
Is Initialized — Filter by initialization status
View Reporting Period Details
Click on a reporting period to view its full details, including the start and end dates, open and close times, program areas, and initialization status.
TIP: The Start Date and End Date define the reporting scope — the time frame that data in this period covers. These dates are read-only. To change start or end dates, contact the PEARS Support Team.
Edit a Reporting Period
From the detail view, click Edit to update the reporting period's open and close dates.
Set Open Date and Time
Enter the Open Date and Open Time when data entry should become available. Times are displayed in your organization's timezone using 12-hour format.
Set Close Date and Time
Enter the Close Date and Close Time when data entry should close. Times are displayed in your organization's timezone using 12-hour format.
Save
Click Save to update the reporting period.
Overlap Handling
If the close date you enter falls within the date range of a future reporting period, PEARS will display a confirmation dialog. The dialog lists the affected future reporting periods and explains that their open dates will be automatically adjusted to avoid overlap. You must confirm before the changes are saved.
NOTE: Only the open and close dates can be edited. The start date, end date, program type, and year are managed by the PEARS system and cannot be changed from this tool.
