Viewable Permissions

Learn how to grant users viewable permissions for units, program areas, and other users' data in PEARS.

Viewable permissions extend a user's ability to see data beyond their own records. These are account-level settings that allow users to view records from specific units, program areas, or other users without needing to be added as a collaborator on each individual record.

Viewable permissions are additive — they expand what a user can see but never restrict existing access.

Types of Viewable Permissions

  • Viewable Units — The user can view all records from the selected units.

  • Viewable Program Areas — The user can view all records reported for the selected program areas. (Only available if your organization uses program areas.)

  • Viewable Users — The user can view all records where the selected users are the creator or a collaborator.

User Managers, Organization Administrators

User Managers and Organization Administrators configure all three types via Manage Users. Program Area Team Leaders can grant Viewable Program Area permissions through their own Account Settings page.

Add Viewable Program Area Permissions

Program Area Team Leaders can grant Viewable Program Area permissions directly from their account.

Open Account Settings

Click your user avatar in the top navigation bar and select Account Settings.

Click the Permissions tab on the Account Settings page.

Select a Program Area

In the Edit Viewable Program Area Permissions section, select the program area you want to grant access to.

Add Users

Search for and select the users who should be able to view data for that program area.

Save

Click Save to apply the changes. The selected users can now view all data reported for the chosen program area.

View Your Viewable Permissions

You can see which viewable permissions have been granted to your account by navigating to Account Settings > Permissions. Your current Viewable Units, Viewable Program Areas, and Viewable Users are displayed.

Remove Viewable Permissions

To remove a viewable permission, click the x next to the unit, program area, or user name in the relevant list, then click Save. User Managers and Organization Administrators can remove viewable permissions for any user via Manage Users.
